Tournament Planner FAQ
Answers to questions tournament organisers often ask us about the Online Tournament Planner, payments and accounts.
I can't move players from the groups to the knockout draw
Within a stage, a player or pair can only be in one draw. If you create the groups and the knockout draw separately in the main draw stage, the players are already in a group and can't be added to the knockout draw as well.
So when creating the draws, choose Groups with knockout (play-off). After the group stage, players then move to the knockout draw in the play-off stage automatically.
Already created the draws separately? Contact support and we'll move the knockout draw to the correct play-off stage. You can then place the players yourself:
- Open the dropdown menu next to the match and choose Change match.
- Go to the Main draw tab.
- Select the player and place them in the draw.
Moving a player to another group
Remove the player from the group and place them in an open spot in another group.
Adding extra players to a group
At the moment, this is only possible by clearing and deleting the draw. Then create a new group draw with more spots and fill the group again.
Message about missing player ratings
This is not an error but an information message. You can carry on planning as usual.
Players and pairsAdding a player who didn't enter themselves
Use the Add players button on the player list. The player is then part of the tournament and can be linked to an event.
Linking two players as a pair in an event
- In the player list, click one of the players in the pair.
- Click Events.
- Tick the box for the event you want.
- Select the partner from the list.
- Click Save.
I get an error when I place a pair in the draw
Often one of the players is still paired with a different partner in the same event. Sometimes you can only see this in the participant overview under the draws. To fix it:
- Remove the pair from the draw.
- Unlink the old pairing via the Events tab of the old partner.
- Place the correct pair in the draw again.
Still not working, for example with events imported from another tournament? Please contact support.
PaymentsCreating a payment link or QR code for a player who still has to pay
You don't need to create the QR code yourself. In the player overview, click the player and go to Entry fee. Create a payment link (payment request) there. You can then show the QR code or email the payment link.
Refunding players in the Online Tournament Planner
- Go to Payments and open the To be refunded tab.
- Tick the players you want to refund.
- Click the refund button in the top right.
- Check in the pop-up what you are about to refund and confirm.
The system automatically transfers the amount to the account the player paid from. There's no need for the treasurer to make a manual refund.
Export with bank account numbers
The export on the payments page doesn't include bank details yet. Make the export on the players page instead. It contains the outstanding or refundable amount (shown as a negative amount) and the bank details.
How do entry fees, the platform fee and refunds work?
- Tournament Software sends the club a credit note for all entries. The club receives the entry fees excluding the platform fee.
- When you refund through the Online Tournament Planner, the player gets the entry fee back including the platform fee. Transaction costs have already been incurred and are not refunded.
- If, after the tournament, total refunds are higher than the amount reserved for the credit note, the club receives a debit invoice for the difference.
- Whether the KNLTB will also send an invoice is best checked with the KNLTB.
Refunding in the offline planner
In the offline planner you make refunds yourself. You can find the details under Report > Players > Payments > Payment details.
Accounts and logging inI have an account on mijnKNLTB.toernooi.nl but can't log in to Toernooi.nl
These are two separate accounts. A mijnKNLTB.toernooi.nl account only works on that site. Want to log in to Toernooi.nl too? Register a new account there.
Username or email address: what can I reuse?
Your username must be unique, so use a different username on Toernooi.nl than on mijnKNLTB.toernooi.nl. You can reuse your email address. Just like a home address, several accounts can share the same email address.
Note: if you use your email address as your username, choose a different username on Toernooi.nl. You can still enter the email address itself there.
Message saying an account will be opened automatically
Log out first and then try again.
Changing my playing level
You change your playing level in your account settings. On a federation's website, the federation does this. Do you have a linked KNLTB account? Contact support and we'll change it for you.
